Fleet management is complex.
Avowant simplifies it.

Hundreds — or thousands — of issues and incidents, tracked, renewed, and documented. AI reads your documents and eliminates the data entry. Open one screen and know exactly where you stand. Hand an auditor, an underwriter, or a broker the proof, on demand.

Your job is hard to do right.

Not because any one piece is difficult — because there are hundreds of them, each expiring on its own clock, and none of them will remind you.

For every driver

  • Commercial driver's license (CDL) — with the right endorsements
  • Medical examiner's certificate (§391.45)
  • Motor Vehicle Record (MVR), pulled and reviewed annually (§391.25)
  • Annual review of driving record, with a documented supervisor consult
  • Drug & alcohol program: random pool, Clearinghouse queries (Parts 382/40)
  • Driver qualification (DQ) file — a dozen dated components (Part 391)
  • Road test or equivalent certificate
  • Employment verification from previous employers

For every truck and trailer

  • Registration and apportioned plates
  • Annual inspection (§396.17) — by a qualified inspector (§396.19/.25)
  • Driver vehicle inspection reports (§396.11)
  • Preventive maintenance intervals
  • Repair records tied to the defects that prompted them
  • Accident and roadside-inspection history

For the company

  • MCS-150 biennial update
  • Unified Carrier Registration (UCR)
  • IFTA and IRP filings
  • Operating authority in good standing
  • Insurance filings on record with FMCSA
  • Accident register
  • Drug & alcohol policy, and a Designated Employer Representative (DER)

Thirty drivers and twenty-five trucks is more than two hundred dated obligations a year — roughly one for every business day. And that's before a single roadside inspection, corrective action, or new hire.

Nothing here is optional, and none of it announces itself. Gaps surface in the venues where they cost the most: a new-entrant audit, an insurance renewal, or discovery after a crash.

So who owns all of this?

Does it land on a safety manager who is already stretched?

Or — if the fleet supports your real business: construction, agriculture, distribution, utilities, energy — does it fall to whoever inherited “the DOT stuff”?

You can hire an experienced safety and compliance manager — or more support staff — to close the gaps. Or you can codify the process with Avowant.

Avowant turns the work into a structured queue and takes the tedium out of it — the date-chasing, the data entry, the paper-hunting. Your people spend that time on work that actually moves safety: coaching drivers, fixing root causes, staying audit-ready.

Structured

Every obligation is a dated item in a queue, not something someone has to remember

Transferable

New staff step into a working program on day one — everything is there, current, and organized

Reviewable

An owner can see where the program stands without becoming an expert

AI vision reads the documents — licenses, medical cards, inspection reports — extracts the data, and files it against the right driver or truck. Your staff confirm instead of type.

Almost none of it has to be typed.

A compliance record is only worth anything if it's current — and records go stale when keeping them up to date is tedious. SmartScan turns any document into filed, validated data the moment it arrives.

1

Load a Document

Drag in a PDF, run it through the office scanner, or snap a phone photo — licenses, medical cards, MVRs, inspections, registrations.

2

AI Reads Every Field

Names, numbers, dates, endorsements, violation codes — extracted, validated server-side, and confidence-scored. Anything uncertain gets a quick human look.

3

Filed, Updated, Preserved

Compliance status updates instantly and the original document is preserved on the record for auditors. Hours of filing become seconds — with error-free input.

For renewals, Avowant even does the chasing. FleetMail emails the driver a renewal request; the driver replies with a photo; SmartScan files it. No app, no portal, no training — for anyone.

You know exactly where you stand.

Most fleets don't — not because they're careless, but because nothing ever told them. Two screens answer it.

What should I do next?

Compliance Center

Everything coming due across drivers, equipment, and the company — on one screen, sorted by urgency. Renew, notify, and file without leaving the page. It is the worklist that replaces the wall calendar, the spreadsheet, and the sticky notes.

If they audited me tomorrow, what fails?

Audit Gap Report

A 0–100 readiness score across thirteen weighted categories, scored the way an auditor would look at you — with every finding deep-linked to the screen that fixes it. Snapshotted monthly, so you can watch the line move.

An open critical finding caps your score at 60. Avowant would rather show you an uncomfortable number than a flattering one — a readiness score you can't trust is worse than no score at all.

And you can prove it to anyone who asks.

Auditors, underwriters, and attorneys don't take your word for it. They read documents. Avowant compiles them from the records you already keep.

When the audit notice arrives

A new-entrant audit or compliance review usually means weeks of assembling files under a deadline, hoping nothing is missing.

The Audit Compiler

Enter the notice date. Avowant calculates the correct FMCSA lookback windows, pulls the driver and equipment records that fall inside them, and assembles the response package section by section — with the gaps named plainly, so nothing is discovered by the auditor first.

When the insurance renewal comes

Truck insurance reached a record $0.102 per mile in 2024 after a 12.5% spike the year before,[2] and excess coverage rates have jumped more than 75%.[3] Assurances don't move a quote. Dated records do.

The Insurance Review report

One click compiles your trailing period into an underwriter-facing dossier — inspection history, corrective-action follow-through, maintenance records, and year-over-year movement. You walk in with evidence instead of adjectives.

When a driver gets inspected

A roadside inspection with violations starts a clock: the certified corrective response is required, and an unclosed one is its own finding later.

Corrective Action Forms (CAFs), closed and signed

Avowant reads the inspection, splits driver violations from equipment defects, and opens the corrective actions and work orders each one requires — gating closure on the signed certification §396.9(d) asks for. Every remediation ends up documented and dated.

The best inspection is the one with nothing to write up. Drivers run their pre-trip from a phone — a QR code, no app, no login — and what they find becomes a work order before it becomes a violation. Catching a defect in your yard costs a repair. Catching it at a scale house costs a repair, a violation, and a mark on your record.

If you haul for brokers

Two carriers quoted the same lane.
Who gets the load?

Brokers tender to the carrier who's easiest to say yes to. Avowant qualifies the exact driver, tractor, and trailer on that load — dated today, signed, and independently verifiable. Not a company-level score from last quarter.

Every Compliance Workflow, One Platform

From document scanning to DOT audit — every feature below is live in the product and walkable in the demo.

AI Document Reading (SmartScan)

Upload or email a photo of any compliance document. AI extracts every field — names, numbers, dates, endorsements, violation codes — with confidence scoring and server-side validation. Two clicks to process: notify driver, confirm the AI's read. Done.

Driver Onboarding

Every new hire walks the same path. Structured checklists across two tracks — before driving and within 30 days. The Clear For Duty gate ensures no driver operates without a complete driver qualification (DQ) file. When the audit notice comes, every file is complete. Your insurer will notice too.

Incident Response

Driver gets pulled over? Avowant captures the inspection, flags violations, and generates Corrective Action Forms (CAFs) automatically — with digital signatures, supervisor sign-off, and webform completion for assigned staff, no login required. Every remediation is documented, dated, and audit-ready.

Pre-Trip Inspections → Maintenance

Drivers inspect from their phone (QR code, no app); Avowant routes what they find. Findings become work orders, work orders track to certified completion — including inspector-qualification gates for annual inspections and brake work (49 CFR §396.19/.25). This is the freshness engine behind the AQR: today's pre-trip, this week's resolved defects.

Audit Gap Report + DOT Audit Compiler

The Audit Gap Report scores your fleet as if DOT audited you today — DQ-file completeness, inspections, corrective actions — so you fix gaps before an auditor finds them. When a real notice arrives, enter the date and the Audit Compiler pulls your complete response package in minutes: auto-calculated lookback windows, recommended driver sample sizes, section-by-section checklists.
